UNRESOLVED MISSED PUNCHES CAN COST CASH FLOW 💸💸

Whether your center is using KinderConnect or a private system like Brightwheel or Procare to track attendance, unresolved missed punches can be costly.  The impact is both for subsidy accounting and CACFP accounting purposes. 

For KinderConnect, the impact is obvious: Incomplete transactions are not paid in the normal remittance cycle. The center will need to submit a payment resolution request to the subsidy payment unit. This will delay remittance for the services provided and will have a negative cash flow effect.  

For the CACFP, the impact can be more subtle and can have a longer term impact when point of service meal records and classroom attendance are compared to attendance housed in  KinderConnect or the private attendance tracking system.

In KinderConnect, missed punches must be corrected and then approved by the sponsor (parent/guardian) or their approved delegate. Missed punches in KinderConnect are classified as "pending" until they have been approved by the sponsor. Sponsors must be informed that they have pending transactions and this should be done daily; ideally, each morning.

To correct missed punches, providers must have another source of recorded attendance (punch in/out times) by families.

With staffing shortages in the early education industry, it can be challenging for administrators to notify parents that pending transactions (missed punch corrections) need to be approved, timely.  If unresolved for several days or longer, pending transactions can accumulate.

One solution that we have developed is to download pending transactions and use our proprietary system to send emails and create letters to be distributed to families. This is tremendous time saver for administrators and does not overcommit a staff person to catch all families at sign in/out time. No matter the method of notification, pending transactions must be approved as soon as possible to avoid a slow down in cash flow.
